Job Description

The Credit Controller will be in charge of overseeing the company's accounts receivable, making sure that payments are collected accurately and on time, and reducing past-due accounts. The job entails keeping correct financial records, monitoring customer accounts, and resolving payment disputes. The Credit Controller will also work closely with internal teams and external stakeholders to ensure compliance with credit policies and improve cash flow.

Duties and Responsibilities
• Updates receivables by totaling unpaid Dovey Pharma’s customer/clients invoices.
• Prepare customer statements.
• Calculate and post receipts to appropriate general ledger accounts and verify details of transactions, such as funds received and total account balances.
• Prepare monthly receivable statements.
• Confirm all the daily banking’s have been done and signed against.
• Work with collections personnel to verify status of unpaid debts and solicit payments on overdue accounts.
• Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
• Facilitate payment of invoices due by sending bill reminders and contacting clients.
• Generate financial statements and reports detailing accounts receivable status.
• Monitor customer account details for non-payments, delayed payments and other irregularities.
• Generate age analysis and report with actions taken in pursuit for payment.
• Maintain accounts receivable customer files and records.
• Develop a recovery system and initiate collection efforts.
• Assist with month-end closing.
• Support month-end and year-end close process..
• Issue receipts for cash or cheques received.
• Investigate and resolve customer queries.
• Process, transmit and run credit card transactions for customer sales and refunds.
• Process customer account adjustments.
• Generates customer statements and management reports.
• Reconcile all payments received via Insurances
• Actively pursue delinquent customers to collect outstanding Account Receivables.
• Any other duty as assigned from time to time by the Head of Finance.

Accounts Receivable Management
• Monitor and manage customer accounts to ensure timely collection of payments.
• Prepare and issue customer statements, invoices, and monthly receivable reports.
• Reconcile accounts receivable ledger to ensure all payments are accurately posted and accounted for.
• Investigate and resolve customer queries related to invoices, payments, and account discrepancies.
Debt Recovery and Collections
• Actively pursue delinquent accounts and follow up on overdue payments.
• Develop and implement effective debt recovery strategies to minimize aging receivables.
• Collaborate with collections personnel to verify unpaid debts and initiate collection efforts.
• Maintain accurate records of collection activities and actions taken.
Financial Reporting
• Generate ageing analysis reports and provide updates on accounts receivable status.
• Prepare and deliver accurate receivable reports within set timelines.
• Reconcile payments received via insurance companies and other payment channels.
• Assist with month-end and year-end closing processes.

Compliance and Process Improvement.
• Ensure 100% compliance with credit policies and procedures.
• Process customer account adjustments, credit card transactions, and refunds.
• Issue receipts for cash or cheque payments received.
• Continuously review and improve credit control processes to enhance efficiency
• Perform any other duties as assigned by the Head of Finance

KPIS
• Achieve 100% compliance with credit policies, ensuring no overdue accounts exceeding the established credit terms.
• Collect 95% or more of outstanding debts within the designated timeframe, with a focus on minimizing aging receivables.
• Ensure 100% of customer payments are collected within the agreed-upon payment terms, with follow-up actions taken for late payments.
• Complete 100% reconciliation of customer accounts on a monthly basis, ensuring discrepancies are resolved within 5 business days.
• Deliver 100% accurate receivable reports within 24 hours of the close of each accounting period, with zero discrepancies in reported amounts.

• Achieve 100% compliance with credit policies, ensuring no overdue accounts exceed established credit terms.
• Collect 95% or more of outstanding debts within the designated timeframe.
• Ensure 100% of customer payments are collected within agreed-upon payment terms.

Key Skills and Qualifications
• Bachelor’s Degree in Credit Management or a related course.
• 5 years experience in credit management with specialization in working in health facilities serving insurances.
• Great relationships with insurances in the country.
• Strong Analytical Skills: Ability to analyze financial data, assess creditworthiness, and identify potential risks.
• Knowledge of Credit Management: Understanding of credit policies, risk assessment procedures, and debt collection processes.
• Attention to Detail: Ensuring accuracy in invoicing, payments, and financial records.
• Communication Skills: Ability to negotiate with clients, manage customer relationships, and communicate effectively with internal teams.
• Financial Acumen: Solid understanding of accounting principles, financial statements, and cash flow management
Education and Experience
• Bachelor’s Degree in Credit Management, Finance, Accounting, or a related field.
• Minimum of 5 years of experience in credit management, preferably in the healthcare or insurance sector.
• Proven track record of managing accounts receivable and debt recovery processes.
Technical Skills
• Strong analytical skills with the ability to assess creditworthiness and identify financial risks.
• Proficiency in accounting software and Microsoft Office Suite (Excel, Word, Outlook).
• Knowledge of credit policies, risk assessment procedures, and debt collection processes.
Soft Skills
• Excellent communication and negotiation skills for managing customer relationships.
• High attention to detail and accuracy in financial record-keeping.
• Strong organizational and time management skills to meet deadlines.
• Ability to work independently and as part of a team.
