Job Description

General Purpose
The Head of Finance is responsible for overseeing the entire financial operations of Dovey Pharma, ensuring accurate financial reporting, compliance, and operational efficiency across all branches, e-commerce channels, and importation activities. This role involves managing the day-to-day execution of financial functions, internal controls, and audits, while playing a key role in credit control, system optimization, and payroll accuracy. The Head of Finance will collaborate with senior management, the ICT, HR, and other relevant departments to drive financial performance and ensure financial integrity across the organization.
Duties and Responsibilities
1. Financial Reporting & Consolidation:
• Lead the month-end close for all entities (branches, online, imports), ensuring compliance with IFRS and company policies.
• Prepare consolidated P&L, balance sheets, cash flow statements, and ensure accuracy across all entities.
• Track importation costs (duties, logistics) and e-commerce revenue recognition to ensure accurate reporting.
• Lead the preparation and presentation of comprehensive financial statements (income statement, balance sheet, cash flow) in compliance with IFRS, industry regulations, and internal policies.
• Prepare detailed financial reports and analysis for the senior management team, highlighting financial performance, key trends, and areas of concern.

2. Credit Control & Cash Flow Management:
• Oversee the credit control function to ensure timely collections of receivables and manage outstanding balances.
• Develop and implement strategies to mitigate bad debt risks and improve cash flow management.
• Collaborate with the sales and operations teams to establish clear credit terms and manage customer credit limits.
• Monitor and report on the aging of receivables, identifying and addressing overdue accounts.
• Ensure the integrity and efficiency of credit approval processes, reducing financial risk.

3. Internal Controls & Compliance:
• Implement robust controls for inventory management (pharma products), cash handling, and import documentation to safeguard company assets.
• Lead the coordination of internal and external audits, ensuring compliance with all relevant regulatory and industry standards.
• Ensure adherence to corporate policies and legal/regulatory requirements (including VAT, tax returns, and IFRS compliance).
• Oversee the accurate and timely filing of tax returns and other regulatory submissions.

4. Process Improvement & Automation:
• Drive the automation of reconciliations, reporting processes, and financial controls using ERP and ICT tools to improve accuracy and operational efficiency.
• Standardize accounting and financial reporting practices across all branches and online channels to ensure consistency and scalability.
• Continuously assess and refine financial processes to enhance the effectiveness of financial operations.

5. Cross-Functional Collaboration:
• Partner with the ICT Lead to validate and ensure the integrity of financial data, including inventory, sales, and transactional records.
• Work closely with the HR department to ensure payroll accuracy and compliance with tax regulations.
• Collaborate with senior management and other departments to deliver financial insights that drive strategic decision-making.

6. Leadership & Team Management:
• Lead and mentor the finance team, fostering a culture of continuous improvement and professional development.
• Manage the finance function effectively, ensuring high levels of performance, accountability, and alignment with company goals.
• Participate in strategic planning and provide financial input to support business growth and operational efficiency.
