Job Description
Location: Nairobi, Kenya
Reports To: Chief Executive Officer (CEO)
Position Summary: We are seeking a highly organized and proactive Executive Assistant to
provide comprehensive support to our CEO. The ideal candidate will possess exceptional
organizational skills, a high level of professionalism, and the ability to manage a diverse range of
tasks with discretion and efficiency.
Key Responsibilities:
1. Administrative Support:
o Manage the CEO’s calendar, schedule meetings, and coordinate appointments.
o Prepare and edit correspondence, presentations, reports, and other documents.
o Handle phone calls, emails, and other communications on behalf of the CEO.
2. Meeting Coordination:
o Organize and coordinate meetings, including preparing agendas, taking minutes,
and following up on action items.
o Assist in the preparation of materials for board meetings and other important
events.
3. Travel Management:
o Arrange and manage travel itineraries, accommodations, and logistics for the
CEO.
o Ensure all travel arrangements are cost-effective and aligned with company
policies.
4. Confidentiality and Discretion:
o Handle sensitive and confidential information with utmost discretion.
o Maintain confidentiality of all corporate, personnel, and research matters.
5. Project Assistance:
o Assist the CEO with special projects and research as needed.
o Provide support in the planning and execution of company events and initiatives.
6. Office Management:
o Oversee office supplies, equipment, and facilities to ensure a well-functioning
work environment.
o Coordinate with other administrative staff to support office operations.
Qualifications:
• Bachelor’s degree in business administration or related field preferred.
• Minimum of 3-5 years of experience as an Executive Assistant or in a similar role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Exceptional organizational and time management skills.
• Strong verbal and written communication skills.
• Ability to work independently and as part of a team.
• High level of professionalism and discretion.
• Strong problem-solving skills and attention to detail.
Working Conditions:
• Full-time position based in Nairobi, Kenya.
